Getting started
Basic phone layout
Soft keys and buttons
Soft keys appear at the bottom of your screen and change according to where you are in a call sequence. You select a soft key by pressing the physical button directly underneath it.
One of the most helpful tips to using your Yealink T40G phone is to watch the soft keys. The system is very good about providing you with a soft key for whatever you are most likely to do next in a call sequence.

Locating your extension
You see your phone's extension number in the upper left of the screen.

Navigating onscreen menus
You use the navigation dial to navigate onscreen lists and menus. It works like a television remote control. The button in the center works as an enter or select key.
Voicemail
Set up voicemail for your extension
If your extension is configured with voicemail, the first time you access the Message Center, the system will walk your through your voicemail setup. To access the Message Center, press .

Check voicemail from your phone
Press and follow the prompts.
Check voicemail from another ENA SmartVoice phone
- Press the MESSAGE button or VMail soft key on the phone you are using.
- When you hear the voicemail greeting, press the star key (*).
- Enter your full 10-digit number when prompted.
- Follow the prompts.
Note: If you have an extension-only number, your full 10-digit number will be a customer prefix followed by your extension. If you do not know your customer prefix, check with your system administrator.
Check Voicemail from Another ENA SmartVoice phone
- Press the MESSAGE button or VMail soft key on the phone you are using.
- When you hear the voicemail greeting, press the star key (*).
- Enter your full 10-digit number when prompted.
- Follow the prompts.
Note: If you have an extension-only number, your full 10-digit number will be a customer prefix followed by your extension. If you do not know your customer prefix, check with your system administrator.
Check Voicemail Remotely
If you have a direct dial number:
- Call your number.
- When you hear your voicemail greeting, press the star key (*).
- Follow the prompts.
If you have an extension-only number:
- Dial 877-675-1152.
- Enter your full 10-digit number.
- Follow the prompts.
Note: If you have an extension-only number, your full 10-digit number will be a customer prefix followed by your extension. If you do not know your customer prefix, check with your system administrator.
Set Up and Check Voicemail on Line Forked to Your Phone (e.g., Main)
If you have another line on your phone in addition to your personal extension:
- Press that line key to select it.
- Press the MESSAGE button.
The first time you access the Message Center for the forked line, the system will walk you through your voicemail setup.
Voicemail Menu Options
Note: Depending on the feature package assigned to the extension, sub-menus may vary slightly from those shown in the chart.
Place Calls
Note: You do not have to dial 9 or any other prefix to make an outbound call.
You can dial any other ENA SmartVoice phone in your system using just the phone’s 4 or 5 digit extension.
Using the Handset
- Enter the number you are calling on the dialpad.
- Pick up the handset.
Note: You may place a call by picking up the handset before dialing. Just be aware the system will attempt to complete the call after a slight pause in entering digits on the dialpad.

Using the speakerphone
- Enter the number you are calling on the dialpad.
- Press the speaker button or the Send soft key.
Note: You may place a call by pressing the speaker button before dialing. Just be aware the system will attempt to complete the call after a slight pause in entering digits on the dialpad.

Using the headset
- With the headset connected, press to activate the headset mode.
- Enter the number, and then press the Send soft key.
Note: During a call, you can alternate between the headset, hands-free speakerphone and handset modes by pressing , the Speakerphone key or by picking up the handset. Headset mode requires a connected headset.

Using the headset
With your headset connected and activated, press when a call comes in.
Reject Calls
You can reject an incoming call by pressing the Reject soft key.

End Calls
Using the handset
Press the EndCall soft key or place the handset in the cradle.

Using the speakerphone
Press or the EndCall soft key.
Using the headset
Press the EndCall soft key.
Redial
Press once to open the Placed Calls list, press or to select the desired entry, and then press the Send soft key.
Press twice when the phone is idle to redial the last dialed number.
Mute and Un-mute Calls
Press to mute the microphone during a call.
Press again to unmute the call.
Hold and Resume Calls
Place a Call on Hold
Press the Hold soft key during an active call.
Resume a Held Call
Note: If there is more than one call on hold, you may need to press or to select the desired call before you see the Resume soft key.

Transfer Calls
Note: When you press Trans, caller is automatically placed on hold.
Blind transfer
- When on an active call, press Trans. The call is placed on hold.
- Enter the number to which you want to transfer the call.
- Press the B Trans soft key.

Note: When you are on an active call, pressing a Speed Dial or an Enhanced Monitored Extension key performs a one-touch Blind Transfer to the programmed number.
Consultative transfer
- Press the Trans soft key during an active call. The call is placed on hold.
- Enter the number of person to whom transferring call.
- When finished entering number, wait or press Send.
- When the recipient answers, let them know transferring call.
- If recipient says available to take call, press Trans to complete.

Swap calls during consultative transfer
Once you connect with the transfer recipient during a consultative transfer, press Swap to return to the original caller. Press Swap again to return to the transfer recipient.

Direct to voicemail transfer
- Press the Trans soft key during an active call. The call is placed on hold.
- Enter *90 followed by the number to which you want to transfer the call.
- Press B Trans.

Forward Calls
- Press the Menu soft key when the phone is idle, and then select Features > Call Forward.
- Select the desired forward type:
- Always Forward - Incoming calls are forwarded unconditionally.
- Busy Forward - Incoming calls are forwarded when the phone is busy.
- No Answer Forward - Incoming calls are forwarded if not answered after a period of time.
- Enter the number to which you want to forward calls. For No Answer Forward, press
or
to select the desired ring time before forwarding from the After Ring Time field.
- Press the Save soft key to accept the change.
Make a Conference Call
- Press the Conf soft key during an active call. The call is placed on hold.
- Enter the number of the second party, and then press the Send soft key.
- Press the Conf soft key again when the second party answers. All parties are now joined in the conference.
- Press the EndCall soft key to disconnect all parties.
Note: You can split the conference call into two individual calls by pressing the Split soft key.
Park Calls
Call Park allows you to place a call on hold so it can be retrieved from any other ENA SmartVoice phone in your building.
Park a Call
To park a call:
- Press Transfer. The call is automatically placed on hold.
- Dial *98.
- Press Send or wait.
- You hear a message telling you the orbit number on which the call is parked and prompting you to complete the transfer. Press Transfer to complete.
Pick Up a Parked Call
When you let a person know they have a parked call, you will need to tell them the orbit number on which the call is parked.
To pick up a parked call:
- Go to any ENA SmartVoice phone in the building and dial *99 followed by the orbit number.
Access and Use Call History
You can view a list of up to 100 missed, placed, received and forwarded call records.
- Press the History soft key when the phone is idle. Press or to scroll through the list.
- Once an entry is highlighted, you can:
- Press the Send soft key to call the entry.
- Press the Delete soft key to delete the entry from the list.
- Press the Option soft key to:
- Select Detail to view detailed information about the entry.
- Select Add to Contact to view detailed information about the entry.
- Select Add to Blacklist to add the entry to the blacklist.
- Select Delete All to delete all entries from the list.
Access and Manage Contact Directory
To add a contact
- Press the Directory soft key when the phone is idle, then select All Contacts.
- Press the Add soft key to add a contact.
- Enter a unique contact name in the Name field and contact numbers in the corresponding fields.
- Press the Add soft key to accept the change.
To edit a contact
- Press the Dir soft key when the phone is idle, then select All Contacts.
- Press or to select the desired contact, press the Option soft key and then select Detail from the prompt list.
- Edit the contact information.
- Press the Save soft key to accept the change.
To delete a contact
- Press the Dir soft key when the phone is idle, then select All Contacts.
- Press or to select the desired contact, press the Option soft key and then select Delete from the prompt list.
- Press OK soft key when the LCD screen prompts, "Delete selected item?"
Customize your phone
Adjust Ringer and Call Volume
- Press
when on and active call to adjust call volume.
- Press
when the phone is idle or ringing to adjust ringer volume.
Change Ring Tones
- Press the Menu soft key when the phone is idle, and then select Settings > Basic > Settings > Sound > Ring Tones.
- Press or to select Common or the desired account, then press the Enter soft key.
- Press or to select the desired ring tone.
- Press the Save soft key to accept the change.
Note: In some instances, the ring tone may be configured at a system level. If you follow the steps above and the ring tone does not change, please contact your system administrator.
Configure Available Phone Keys
You can configure available phone keys as speed dials, one-touch transfer buttons, etc. You configure available phone keys through your ENA SmartVoice End User Portal.
