Soft Keys and Buttons

Soft Keys

Soft keys appear at the bottom of your screen and change depending on where you are in a call sequence. You select a soft key by pressing the physical button directly underneath it.

Watching your soft keys is one of the most helpful things you can do when using your phone. In almost all cases, the thing you are most likely to do next in a call sequence will appear as a soft key.

Buttons

Buttons are physical keys on your phone which are programmed and labeled to always perform a specific function (e.g., Microphone mute).

Setup and Check Voicemail

Set Up Voicemail for Your Extension

The first time you access the Message Center, the system will walk your through your voicemail setup. To access the Message Center, press the MESSAGE button .

Check Voicemail from Your Phone

Press the MESSAGE button , and follow the prompts.

Check Voicemail from Another ENA SmartVoice phone

  1. Press the MESSAGE button or VMail soft key on the phone you are using.
  2. When you hear the voicemail greeting, press the star key (*).
  3. Enter your full 10-digit number when prompted.
  4. Note: If you have an extension-only number, your full 10-digit number will be a customer prefix followed by your extension. If you do not know your customer prefix, check with your system administrator.

  5. Follow the prompts.

Check Voicemail Remotely

If you have a direct dial number:

  1. Call your number.
  2. When you hear your voicemail greeting, press the star key (*).
  3. Follow the prompts.

If you have an extension-only number:

  1. Dial 877-675-1152.
  2. Enter your full 10-digit number.
  3. Note: If you have an extension-only number, your full 10-digit number will be a customer prefix followed by your extension. If you do not know your customer prefix, check with your system administrator.

  4. Follow the prompts.

Set Up and Check Voicemail on Line Forked to Your Phone (e.g., Main)

If you have another line on your phone in addition to your personal extension:

  1. Press that line key to select it.
  2. Press the MESSAGE button.

The first time you access the Message Center for the forked line, the system will walk you through your voicemail setup.

Note: Depending on the feature package assigned to the extension, sub-menus may vary slightly from those shown in the chart.

Place Calls

Using the Handset

  1. Enter the number you are calling on the dialpad.
  2. Pick up the handset.

Note: You may place a call by picking up the handset before dialing. Just be aware the system will attempt to complete the call after a slight pause in entering digits on the dialpad.

Using the Speakerphone

  1. Enter the number you are calling on the dialpad.
  2. Press the speaker button or the Send soft key.

Using the Headset

  1. With the headset connected, press to activate the headset mode.
  2. Enter the number, and then press the Send soft key.

Note: During a call, you can alternate between the headset, hands-free speakerphone and handset modes by pressing the Headset key, the Speakerphone key, or by picking up the handset. Headset mode requires a connected headset.

Answer Calls

Using the Handset

When a call comes in, pick up the handset.

Using the Speakerphone

When a call comes in, press , the Answer soft key or the blinking line key.

Using the Headset

Press .

Answer Second Incoming Call

When you are on an active call and a second call comes in, a line key will blink and you will see the caller ID of the incoming call scrolling along the bottom of your screen.

To answer the second call, press the Answer soft key or the blinking line key.

The active call is automatically placed on hold when you answer the second call.

End Calls

Using the Handset

Hang up the handset or press the EndCall soft key.

Using the Speakerphone

Press or the EndCall soft key.

Using the Headset

Press the EndCall soft key.

Redial

Press to enter the Placed Calls list, press or to select the desired entry, and then press the Send soft key.

Press twice when the phone is idle to dial out the last dialed number.

Mute and Un-mute Calls

Press to mute the microphone during a call.

Press again to unmute the call.

Hold and Resume Calls

Place a Call on Hold

Press or the Hold soft key during an active call.

Resume a Held Call

Press the blinking line key, , or the Resume soft key.

Note: If there is more than one call on hold, you may need to press or to select the desired call before you see the Resume soft key or are able to press to resume the call.

Transfer Calls

Blind Transfer

  1. Pressor the Transfer soft key during an active call. The call is automatically placed on hold.
  2. Enter the number to which you want to transfer the call.
  3. Pressor the B Transfer soft key.
  4. Note: If you have a button on your phone programmed as a speed dial, a one-touch transfer, or an enhanced monitor extension, you may press that button during an active call to blind transfer the call to that extension.

Consultative Transfer

  1. Pressor the Transfer soft key during an active call. The call is automatically placed on hold.
  2. Place a call to the transfer recipient by entering their number then waiting for the call to complete or pressing the Send soft key.
  3. When the transfer recipient answers, if they are available to take the call, pressor the Transfer soft key to complete the transfer.

Return to Original Caller

If the transfer recipient is not available to take the call, when you end the call with the recipient, take the original call off hold by pressing the blinking line key, the Resume soft key or .

Direct to Voicemail Transfer

If Have 4-Digit Extension

  1. Pressor the Transfer soft key during an active call. The call is automatically placed on hold.
  2. Enter *90 followed by the extension to which you want to transfer the call.
  3. Pressor the B Transfer soft key.

If Have 5 or 6-Digit Extension

  1. Pressor the Transfer soft key during an active call. The call is automatically placed on hold.
  2. Enter * followed by the number to which you want to transfer the call.
  3. Press B Transfer.

Forward Calls

  1. Press the Menu soft key when the phone is idle, and then select Features->Call Forward.
  2. Select the desired forward type:
    • Always Forward - Incoming calls are forwarded unconditionally.
    • Busy Forward - Incoming calls are forwarded when the phone is busy.
    • No Answer Forward - Incoming calls are forwarded if not answered after a period of time.
  3. Enter the number you want to forward to. For No Answer Forward, press or to select the desired ring time to wait before forwarding from the After Ring Time field.
  4. Press the Save soft key to accept the change.

Make a 3-Party Conference Call

  1. Press the Conference soft key during an active call. The active call is automatically placed on hold.
  2. Enter the number of the party you would like to conference in, and then wait or press the Send soft key.
  3. When the second party answers, press the Conference soft key again. All parties are now joined in the conference.
  4. Press the EndCall soft key to disconnect all parties.
  5. Note: You can split the conference call into two individual calls by pressing the Split soft key.

Park Calls

Call Park allows you to place a call on hold so it can be retrieved from any other ENA SmartVoice phone in your building.

Park a Call

To park a call:

  1. Press Transfer. The call is automatically placed on hold.
  2. Dial *98.
  3. Press Send or wait.
  4. You hear a message telling you the orbit number on which the call is parked and prompting you to complete the transfer. Press Transfer to complete.

Pick Up a Parked Call

When you let a person know they have a parked call, you will need to tell them the orbit number on which the call is parked.

To pick up a parked call:

  1. Go to any ENA SmartVoice phone in the building and dial *99 followed by the orbit number.

Local Call Recording

If local call recording is enabled, you may record calls to a USB flash drive inserted into the back of your phone.

Note: If local call recording is not enabled for your phone, and you would like to have it activated, contact your system administrator.

To use local call recording:

  1. Insert a USB flash drive into the USB port on the back of your phone.
  2. When you are on an active call, press the Start REC soft key.
  3. Note: You may need to press the More soft key to see the Start REC soft key.

  4. Press the Pause REC soft key to pause the recording and the Resume REC soft key to resume.
  5. Press the Stop REC soft key to stop recording.

The call recording is stored in a .wav file on the USB flash drive.

Access and Use Call History

You can view a list of up to 100 missed, placed, received and forwarded call records.

  1. Press the History soft key when the phone is idle. Press or to scroll through the list.
  2. Once an entry is highlighted, you can:
    • Press the Send soft key to call the entry.
    • Press the Delete soft key to delete the entry from the list.
    • Press the Option soft key to:
      • Select Detail to view detailed information about the entry.
      • Select Add to Contact to view detailed information about the entry.
      • Select Add to Blacklist to add the entry to the blacklist.
      • Select Delete All to delete all entries from the list.

Access and Manage Contact Directory

Add a Contact

  1. Press the Directory soft key when the phone is idle, then select All Contacts.
  2. Press the Add soft key to add a contact.
  3. Enter a unique contact name in the Name field and contact numbers in the corresponding fields.
  4. Press the Save soft key to accept the change.

Edit a Contact

  1. Press the Directory soft key when the phone is idle, then select All Contacts.
  2. Press or to select the desired contact, press the Option soft key and then select Detail from the prompt list.
  3. Edit the contact information.
  4. Press the Save soft key to accept the change.

Delete a Contact

  1. Press the Directory soft key when the phone is idle, then select All Contacts.
  2. Press or to select the desired contact, press the Option soft key and then select Delete from the prompt list.
  3. Press OK soft key when the LCD screen prompts, "Delete selected item?"

Adjust Ringer and Call Volume

  • Pressduring an active call to adjust call volume.
  • Presswhile the phone is idle or ringing to adjust ringer volume.

Configure Available Phone Keys

You can configure available phone keys as speed dials, one-touch transfer buttons, etc. You configure available phone keys through your ENA SmartVoice End User Portal.

*69 Automatic Recall All Plays an announcement of the number of the last call received.
