Your Extension

Your personal extension shows next to the top one or two keys on the left side of the screen.

Soft Keys and Buttons

Soft Keys

Soft keys appear at the bottom of your screen and change depending on where you are in a call sequence. You select a soft key by pressing the physical button directly underneath it.

Watching your soft keys is one of the most helpful things you can do when using your phone. In almost all cases, the thing you are most likely to do next in a call sequence will appear as a soft key.

Buttons

Buttons are physical keys on your phone which are programmed and labeled to always perform a specific function (e.g., Microphone mute).

Navigation Dial

You use the navigation dial to navigate onscreen lists and menus. Use the direction arrows to move up, down, left, and right. The button in the center works as an enter or select key.

Set Up Voicemail for Your Extension

The first time you access the Message Center, the system will walk your through your voicemail setup. To access the Message Center, press . Follow the prompts to set up your voicemail.

Set Up Voicemail on Line Forked to Your Phone

If you have more than one line on your phone:

  1. Press
  2. You see the Message Center screen. Press Select.
  3. You see a list of all the lines on your phone. Use the navigation dial to highlight the line for which you would like to check voicemail.
  4. Press Select and follow the prompts.

Check Voicemail on Line Forked to Your Phone

If you have more than one line on your phone:

  1. Press
  2. You see the Message Center screen. Press Select.
  3. You see a list of all the lines on your phone. Use the navigation dial to highlight the line for which you would like to check voicemail.
  4. Press Select and follow the prompts.

Check Voicemail from Another ENA SmartVoice phone

  1. Press the Messages button or icon of the phone you are using.
  2. When you hear the voicemail greeting, press the star key (*).
  3. Enter your full 10-digit number when prompted.
  4. Note: If you have an extension-only number, your full 10-digit number will be a customer prefix followed by your extension. If you do not know your customer prefix, check with your system administrator.

  5. Follow the prompts.

Check Voicemail Remotely

If you have a direct dial number you can call from outside the system:

  1. Call your number.
  2. When you hear your voicemail greeting, press the star key (*).
  3. Follow the prompts.

If you have an extension-only number you cannot call from outside the system:

  1. Dial 877-675-1152.
  2. Enter your full 10-digit number.
  3. Note: If you have an extension-only number, your full 10-digit number will be a customer prefix followed by your extension. If you do not know your customer prefix, check with your system administrator.

  4. Follow the prompts.

Place Calls

Using the Handset

  1. Pick up the handset.
  2. Enter the number.
  3. Press the Send soft key or wait for the call to complete.

Using the Speakerphone

  1. Press
  2. Enter the number.
  3. Press the Send soft key or wait for the call to complete.

Using the Headset

  1. With the headset connected, press to activate the headset mode.
  2. Enter the number.
  3. Press the Send soft key.

Note: During a call, you can alternate between the headset, hands-free speakerphone and handset modes by pressing the Headset key, the Speakerphone key, or by picking up the handset. Headset mode requires a connected headset.

End Calls

Hang up the handset or press the EndCall soft key.

Using the Headset

Press the EndCall soft key.

Mute and Un-mute Calls

Press to mute the microphone during a call.

Press again to unmute the call.

Hold and Resume Calls

The hold button on your phone is labeled with a pause symbol and handset icon.

Place a Call on Hold

Press the Hold button or soft key during an active call.

Resume Held Call

Press the Hold button, the line key that is flashing red, or the Resume soft key.

Note: If there is more than one call on hold, your may need to press up or down on the navigation dial to select the held call and see the Resume soft key.

Transfer Calls

The transfer button on your phone is labeled with two handsets connected by an arrow.

Blind Transfer

To transfer a call to a recipient without speaking with the recipient first, use a Blind transfer.

  1. When you are on an active call, press the Transfer button or soft key.
  2. Note: When you press the Transfer, the caller is automatically placed on hold.

  3. Press the Blind soft key.
  4. Note: This soft key toggles between Blind and Consultative. If you do not see the Blind soft key, it is already selected. Proceed to step 3.

  5. Dial the recipient’s extension or number.
  6. Wait for the transfer to complete or press Send.

Consultative (Announced) Transfer

If you would like to talk to the transfer recipient before sending the caller through, use a Consultative transfer.

  1. When you are on an active call, press theTransfer button or soft key.
  2. Note: When you press Transfer, the original caller is automatically placed on hold.

  3. If you see the Consultative soft key, press it. If you do not see the Consultative soft key, proceed to step 3.
  4. Dial the recipient.
  5. Wait for the call to complete or press Send.
  6. After you have spoken with the recipient and are ready to complete the transfer, press the Transfer button or soft key again.

Direct to Voicemail Transfer

To transfer a caller directly to someone’s voicemail if you have a 4 digit extension:

  1. Press Transfer.
  2. Press Blind.
  3. Dial *90 followed by the recipient's number.
  4. Press Send.

To transfer a caller directly to someone’s voicemail if you have a 5-6 digit extension:

  1. Press Transfer.
  2. Press Blind.
  3. Dial * followed by the recipient's number.
  4. Press Send.

Cancel a transfer

Press the Cancel soft key at any point prior to completing a transfer to return to the original call.

Note: You may have to press More to see the Cancel soft key.

Make a Conference Call

Note: You may need to press the More soft key to see the Confrnc and Split soft keys.

  1. Press the Conf soft key during an active call. The call is placed on hold.
  2. Enter the number of the second party, and then press the Send soft key or wait for the call to complete.
  3. Press the Conf soft key again when the second party answers. All parties are now joined in the conference.
  4. Press the EndCall soft key to disconnect all parties.

Note: You can split the conference call into two individual calls by pressing the Split soft key.

Park Calls

Call Park allows you to place a call on hold so it can be retrieved from any other ENA SmartVoice phone in your building.

Park a Call

To park a call:

  1. Press Transfer. The caller is automatically placed on hold.
  2. Press Consultative.
  3. Dial *98.
  4. Press Send or wait.
  5. You hear a message telling you on which orbit the call is parked and prompting you to complete the transfer. Press Transfer to complete.

Pick Up a Parked Call

When you let a person know they have a parked call, you will need to tell them the orbit number on which the call is parked.

To pick up a parked call:

  1. Go to any ENA SmartVoice phone in the building and dial *99 followed by the orbit number.

Forward Calls from Phone

Note: ENA SmartVoice extensions assigned a Pro or Executive feature package are forwarded using the Reach Me function in the ENA SmartVoice User Portal and not the access (star) codes show below.

Immediate Call Forwarding

To turn on immediate call forwarding for all calls:

  1. Dial *72 followed by the number to which you would like to forward calls.
  2. Press Send or Dial.

To turn off immediate call forwarding:

  1. Dial *73
  2. Press Send or Dial.

Call Forward if No Answer

To turn on call forwarding if no answer:

  1. Dial *92 followed by the number to which you would like to forward calls.
  2. Press Send or Dial.

To turn off call forwarding if no answer:

  1. Dial *93
  2. Press Send or Dial.

Note: You set how long your phone rings before being forwarded using the the Reach Me function in the ENA SmartVoice User Portal.

Adjust Ringer and Call Volume

Adjust Call Volume

Press + or - when on an active call to adjust call volume.

Adjust Ringer Volume

Press + or - when the phone is idle or ringing to adjust ringer volume.

Configure Available Phone Keys

You can configure available phone keys as speed dials, one-touch transfer buttons, etc. You configure available phone keys through your ENA SmartVoice End User Portal.
