Overview to your ENA SmartVoice User Portal

Your ENA SmartVoice User Portal is a web-based interface you may access at any time to both customize your phone setup to best meet your needs, as well as manage calls and voicemails.

What is a Feature Package and How Does It Affect My ENA SmartVoice User Portal?

Each phone extension is assigned a feature package as specified by your ENA SmartVoice System Administrator. The ENA SmartVoice User Portal interface varies slightly from feature package to feature package. The two main areas that differ are:

  1. The available settings in the Reach Me function.
  2. The available options for programming unused keys.

In this guide, if a feature is only available in specific feature packages, we will note that. Here is a chart showing which features are available with each feature package.

Log In

  1. Point your web browser to https://my.ena.com/smartvoice-user.
  2. Enter your 10-digit phone number.
  3. Note: If you have an extension-only number, your full 10-digit number will be a customer prefix followed by your extension. If you do not know your customer prefix, check with your system administrator.

  4. Enter your default password.
  5. Note: Your system administrator will provide you with your default User Portal password.
    Your User Portal Password is not related in any way to your Voicemail PIN.

  6. Click Login.

Change Account Password from the Default

  1. Click Settings.
  2. Click change for Account Password.
  3. Enter current password
  4. Enter new password and enter again to validate.
  5. Click Confirm.

Check and Manage Voicemail Messages in User Portal

You can check and manage your voicemail online under the Messages and Calls tab.

From the Messages and Calls tab, you can:

  1. Press the play button to listen to a message.
  2. Click the X to delete a message.
  3. Open the Actions drop down:
    • To record a Reply using your computer microphone.
    • Mark as Heard, which removes the message from your New Messages and leaves it in your voicemail box.
    • Forward as Email to send the .wav file of the voicemail to a recipient’s email.
    • Forward as Voicemail to another ENA SmartVoice phone in your system.

Adjust How Long my Phone Rings Before a Call Goes to Voicemail

To adjust how long your phone rings before it rolls to voicemail:

  1. Click Settings.
  2. Click Messages.
  3. Enter the number of seconds you would like your phone to ring before it goes to voicemail.
  4. Click Apply.

Forward Voicemail Messages to Email

  1. Click Settings.
  2. Click Messages.
  3. Click Forward messages as emails.
  4. Click add an email address. Enter the email address to which you would like voicemails to be forwarded.

Forward Calls to Another Phone

Click Reach Me to set up call forwarding from you ENA SmartVoice extension to another number.

Note: The Reach Me set up options vary by ENA SmartVoice feature package.

Program Unused Keys on Your Phone

You can program unused keys on your phone as shortcuts for the call sequences you use most often.

Available options

  • Enhanced Monitored Extension - In addition to indicating when another ENA SmartVoice phone is in use, an Enhanced Monitored Extension combines a number of other features and is the most commonly used key option. An Enhanced Monitored Extension:
    • Shows when the ENA SmartVoice extension is in use
    • Is a speed dial to that extension
    • Is a one-touch blind transfer to that extension
    • If the phone's extension has the Plus feature package or above, an Enhanced Monitored Extension key may also be used to pick up that phone when it is ringing
  • Note: The extension being monitored must be a part of your ENA SmartVoice system.

  • Speed Dial - One touch dialing to designated extension or number. Can be internal or external.

  • One Touch Transfer - One touch blind transfer to designated extension or number. Can be internal or external.

  • Directed Pickup - One touch to initiate directed pick up to a specific extension. In most cases, an Enhanced Monitored Extension is a better choice, because it gives you the ability to pick up a ringing line as well as acts as a speed dial and a one-touch blind transfer key.

    Note: The extension selected for directed pickup must be a part of your ENA SmartVoice system.

    Available in Plus, Plus Office, Plus Mobile, Pro feature packages.

  • Enhanced Call Park - It is a one touch call park with indicator light showing when call has been retrieved. This is a good choice if you frequently park calls.

    Note: Available in Plus, Plus Office, Plus Mobile, Pro feature packages.

  • Line - Adds an additional line to the your phone. You see this option in the User Portal, however, it must be configured by your system administrator.

    Note: The line being added must be assigned a Plus Office or Pro Feature package.

  • Voicemail - Accesses the Message Center. While this option is available, it is typically not needed because you have a Message Center button or soft key on your phone at all times

To program keys

  1. Click Settings.
  2. Click Set keys.
  3. Click Edit.
  4. Click >to open the menu for key want to program and select desired option from drop down menu.
  5. 5. Add the required information to the fields.
  6. Click Save changes.

Program Expansion Module (Sidecar) Keys

Once you have added an Expansion Module (Sidecar) to your phone, you follow the same steps you use to program keys on your phone and have the same options.

Add Expansion Module (Sidecar)

  1. Click Settings.
  2. Click Set keys.
  3. Click Edit.
  4. If do not see Sidecar, click Add Sidecar.
  5. Click VVX Color Expansion Module.
  6. Click >to open the menu for key want to program and select desired option from drop down menu.
  7. 7. Add the required information to the fields.
  8. Click Save Changes.

Push updates to keys and expansion module to phone

Your phone configuration is updated every evening, so if you do not manually update your phone’s configuration, you will see the new settings the next day.

  1. Press the Home button or Menu key.
  2. Press Settings.
  3. Press Basic.
  4. Press Update Configuration.
